My letter has a typo, can I edit it
Yes, though how you edit depends on what the typo is.
Small typos
These you can hand-correct with a pen and initials:
- A misspelled word ("recieve" instead of "receive")
- A wrong middle initial
- A minor grammatical slip
- A wrong article ("a" versus "an")
Cross out with a single pen line, write the correction next to it, initial. Insurers accept these routinely.
Larger errors
These are worth regenerating:
- Wrong member name
- Wrong member ID
- Wrong claim number
- Wrong date of service
- Wrong denial code
- Wrong insurer address (see The insurer address on my letter is wrong)
- Wrong signature block
- A factual statement in the body that is incorrect
Email support with your appeal ID and describe what needs to change. We regenerate within one business day. Regeneration is free if the error was ours (a bug in how we parsed your intake). If the error is because the intake data was wrong, we still regenerate at no charge.
What we regenerate for free
- Bugs in our system
- Errors in the address or facts we generated
- Anything a reasonable person would call our mistake
What we charge for
We charge nothing for regeneration. Ever. The reason is simple: a broken PDF is not a product we can defend, so we fix it and move on.
What we do not do
- We do not edit the PDF for you and email you an updated file (unless you specifically ask). We regenerate through the system so the record is complete.
- We do not open Word or InDesign and hand-edit the file. The PDF is generated from a template and we regenerate the template.
If you want to edit yourself
Some buyers want to add a personal paragraph or restructure the argument. That is fine as long as:
- The core structure (recipient block, RE: line, citation, request for relief, signature block) stays intact
- You do not add legal claims that go beyond the record
- You do not remove the citations
Options to edit yourself:
- Open the PDF in Adobe Acrobat or Preview and use the text-annotation feature (this is the safest for small additions)
- Copy the text into a Word document and rewrite as needed (loses the professional formatting)
- Print, then handwrite additions in the margins with initials (works for small additions)
What you cannot do
- Change the CFR citations to different ones without checking they still apply
- Change the plan-type indicator (ERISA versus Medicare Advantage citations differ)
- Add a legal claim to a document we drafted for you (we drafted as a document assistant, not as legal counsel; you own what you add)
- Sign our name to anything you write
When to escalate to support instead of self-editing
- The change is large enough that you would rewrite half the letter
- The change involves regulatory citations you are not sure about
- The letter has multiple errors, not just one
We regenerate, you get a fresh PDF, and you mail with confidence.
After you correct
- Update your file copy with the corrections
- If the changes are hand-corrections, photograph the corrected letter before mailing
- Save both the original and the corrected version to your appeal folder
